Send the drawing and revision
Attach a readable drawing with units, dimensions, hole locations and the current revision. Identify critical dimensions and any tolerances that matter. If no drawing is available, provide a dimensioned sketch and confirm the final drawing before production.
Describe the material and service
Name the product or material family where known, and explain the operating environment: temperature, electrical duty, mechanical load, exposure and intended equipment. If the material grade is not known, ask the supplier to recommend a candidate and confirm it against the application rather than selecting solely by a generic product name.
Include commercial details
State prototype and production quantities, expected repeat order volume, required date, delivery destination, packaging, inspection or documentation needs, and whether samples are required. Separate must-have requirements from preferences so the quotation can identify assumptions and exclusions clearly.
